Using LiveProcess for COVID-19 Response: Real World Tips from Our Customers
Responding to the COVID-19 pandemic has challenged hospitals and healthcare systems around the world. To support both new and existing customers, we’d like to share some of the strategies and best practices LiveProcess customers are using, in the hope that their real-world tested processes can help others with similar needs. We’ll provide more best practices guidance on each of these topics in the coming days and weeks.
Finding available ventilators and beds for COVID-19 patients
As hospitals stand up additional areas for triaging and treating COVID-19 patients, keeping track of bed usage and projected availability is more critical than ever. LiveProcess allows health systems to see bed availability throughout their organization or network, sorted by categories including adult and pediatric ICU, airborne infection isolation, ED beds, and more. Emergency managers or other coordinators can also view and share only relevant HAvBED resources.
One LiveProcess customer in a large healthcare coalition has used data from LiveProcess daily surveys to create visualizations that quickly show where availability is highest and lowest for ventilators, ICU beds, isolation rooms, and negative pressure rooms. The survey also tracks which hospitals are converting rooms to isolation rooms and how many isolations rooms are possible at each facility.
Hospital personnel health screening
The need for daily screening of employee health puts a large burden on healthcare facilities. LiveProcess customers have been using both notifications and surveys to make collecting, documenting, and tracking this information faster and easier. Because LiveProcess tracks message delivery, viewing, and response, it’s easy to resend a message to just those who haven’t responded, limiting the number of messages employees get in a day.
Organizations can also customize their screening process, sending separate messages to specific facilities, departments, shifts, or roles, or adding specific questions about travel or suspected COVID-19 exposure.
Managing COVID-19 hospital staffing shortfalls
Labor pool requests are one of the most common messages we see moving through LiveProcess every day. Some are closing down inessential clinical areas, making more staff available for redistribution throughout the system.
One of our health system customers has been using dedicated sidebars in their event log to manage staffing needs. In the sidebar, the health system’s HR specialists make and respond to staffing requests so that each location has the staff they need. The event log is especially useful for coordinating across facilities, as in a large health system or healthcare coalition.
Survey and notification messages have also been used to track staffing availability on a daily basis, especially in high-demand roles such ICU nurses, respiratory therapists, and security personnel.
Ensuring accurate, consistent information
The situation around COVID-19 is changing daily. CMS has issued several requirement waivers to make it easier for healthcare providers to take on new staff and stand up temporary care facilities. The CDC is offering ongoing guidance for crisis capacity strategies, including the decontamination and reuse of filtering facepiece respirators (FFR). State and local governments continue to announce new policies for essential and non-essential workers.
Additionally, your own facility or health system may be adapting its own policies to cope with the situation on the ground. LiveProcess messaging and command center tools keep all stakeholders acting on the same information and limit speculation and rumors. Because can reach staff and leadership on any device, personnel who are working from home or moving from site to site will stay in the loop.
Hospital supply chain management during COVID-19 outbreak
A shortage of masks and other personal protective equipment (PPE) is a nightly news topic for weeks. Hospital and regional healthcare emergency managers use LiveProcess for several supply-related tasks, including:
- Sharing updated federal and state guidance on how to monitor PPE and prioritize during shortfalls
- Requesting needed resources from community partners and orchestrating reallocation
- Tracking requests and distribution of resources from centralized warehouses
Many customers use the event log in LiveProcess to monitor and document supply chain issues so that the information is widely available and all personnel are acting on the same information. The survey tool is another option for quickly assessing the availability of supplies, even on a daily basis, so they can be redistributed to the area of most need.
